Fleet maintenance

Building a maintenance schedule for a small business fleet

TL;DR

  • A fleet schedule needs to stagger service dates across vehicles, not just track mileage on each one individually.
  • Group vehicles by use case (delivery, service calls, towing) since duty cycle affects wear more than age does.
  • Keep per-vehicle records so you catch patterns, like one vehicle needing brakes twice as often as the rest.
  • Northway Auto's fleet discount program applies once you're managing 2 or more vehicles with us.

A maintenance schedule for one vehicle is straightforward: track the mileage, follow the intervals. A fleet adds a second problem on top of that: keeping enough vehicles on the road at any given time.

Stagger service dates, don’t batch them

If every vehicle in your fleet happens to be due for service in the same week, you end up short-handed all at once. Spreading vehicles across a rolling schedule, a few at a time, means routine maintenance never turns into a fleet-wide gap in availability.

Here’s what that looks like for a small fleet on a roughly four-month service interval. It’s an example spread, not a real customer’s schedule, but it shows the shape of it:

Vehicle Service months
Van 1 March, July, November
Van 2 April, August, December
Van 3 May, September, January
Van 4 June, October, February

No two vehicles land in the same month, so a service visit never takes more than one vehicle off the road at a time.

Group by duty cycle, not just age

Two vehicles bought the same year can wear at completely different rates depending on how they’re used. A vehicle doing short delivery runs around Red Deer and out to Sylvan Lake puts more stress on brakes and the engine’s cold-start cycle than one doing longer highway service calls out toward Lacombe or Ponoka. Grouping vehicles by what they actually do, rather than treating the whole fleet as one block, gives you a more accurate sense of what each one needs and when.

Set up a fleet service plan

Keep records per vehicle

Service dates, mileage at each visit, and what was done, tracked separately for each vehicle. That history is what lets you spot a pattern, like one van needing brake work twice as often as the rest of the fleet, which usually means something about how it’s driven or a mechanical issue worth digging into rather than just replacing parts on repeat.

Build in room for the unexpected

Even a well-run schedule doesn’t prevent every breakdown. What it does is shrink the number of surprises and make the ones that still happen easier to absorb, since you’re not also behind on routine maintenance for the rest of the fleet at the same time.

Setting this up in Red Deer

Northway Auto’s fleet program covers maintenance, diagnostics, brakes, and tires, with discounts starting at 2 to 5 vehicles and scaling up from there. We also keep the service records on our end, so you can pull up a full history for any vehicle in your fleet, what was done, when, and at what mileage, instead of tracking it yourself. Tell us your fleet, vehicle types, and how you’d like to be kept in the loop, and we’ll work out a service plan through the fleet service page or a call to Bay 5, 7880 48 Ave. For the wider rules that govern how commercial vehicles operate in the province, see Alberta’s commercial carrier resources.

Frequently asked questions

How is a fleet maintenance schedule different from a personal vehicle schedule?

The mileage-based intervals are similar, but a fleet schedule also has to manage timing across multiple vehicles so you're never without enough of them on the road at once. That means staggering service dates rather than booking everything at the same time.

Should every vehicle in my fleet follow the same schedule?

Not necessarily. Group vehicles by how they're actually used. A vehicle doing daily short-radius deliveries wears differently than one doing highway service calls or occasional towing, even if they're the same age and similar mileage.

What records should I keep for each vehicle?

The list is short: dates serviced, mileage, and what was done, per vehicle. If keeping that yourself is a hassle, it doesn't have to be. Northway Auto keeps the records on our end for fleet accounts, so you can pull a full history for any vehicle instead of maintaining your own spreadsheet.

How many vehicles until a fleet discount makes sense?

It applies as soon as you're servicing 2 vehicles with us, not some higher threshold. From there it scales up automatically as the fleet grows, so setting up the account early costs nothing and starts paying off with the next vehicle you add.

How far ahead should I book fleet maintenance?

It depends on how the vehicle is used. One running short in-town routes and one doing highway service calls won't hit their next interval at the same time, even if they're the same age. Track mileage per vehicle and book each one as it approaches its interval, rather than trying to book the whole fleet on one date.
